Contrata Privacy Policy

Draft for review · Updated

Overseas processing details and the practices described below need to be confirmed before this draft is adopted.

1. About this policy

Contrata Pty Ltd (ABN 94 691 842 270) handles personal information collected through this website, enquiries, demo requests and related business communications. Personal information is information or an opinion about an identified individual, or an individual who is reasonably identifiable.

This policy explains those activities. Customer information processed within the Contrata software platform is subject to the applicable customer agreement and service privacy notices. This website policy does not describe platform hosting, AI processing or customer-data arrangements.

2. Information we collect

When you request a demo or contact us, we collect your first and last name, email address, phone number, company name and the details of your enquiry. We may also keep correspondence and information you provide during follow-up discussions.

Website infrastructure may generate technical records such as IP addresses, request times, browser details and error logs when you visit. These records help operate the website and investigate faults or misuse.

Please do not send passwords, customer evidence files or sensitive personal information through general enquiry forms. Only provide another person's information if you are authorised to do so.

3. How we collect information

We collect information directly from you through website forms and business communications, and through the technical operation of the website. If you contact us on behalf of an organisation, your organisation may also provide your business contact details.

You can browse our public resources without completing a contact form. If you do not provide the required enquiry details, we may be unable to respond or arrange a demo. Where practical, you may make a general enquiry anonymously or using a pseudonym.

4. How we use and share information

We use enquiry information to respond to requests, arrange demonstrations, explain our services and manage related business communications. We use relevant technical information to maintain website availability, diagnose problems and protect against misuse.

We may share information with personnel and service providers who need it to perform these activities, including website hosting, form delivery, email and technical support providers. Website enquiries are sent through our configured form-delivery service, Static Forms. We may also disclose information to professional advisers or where required or authorised by law.

If we send promotional communications, you can ask us to stop using the contact method in the message or the enquiry form below. Essential responses to your requests may still be sent.

5. Website storage and external links

The website saves your light or dark theme preference in your browser's local storage. You can clear this preference using your browser settings. The site's calculator works in your browser; editing calculator assumptions does not submit those values through the enquiry form.

When optional website analytics is configured, we ask for your permission before sending analytics events to PostHog. If you accept, we measure public page visits, demo-button clicks, form starts and successful enquiry submissions to improve the website. We use a randomly generated browser identifier held in memory for the current page session, not your name or contact details. We do not enable session recording or automatic interaction capture, and we do not send form text, calculator inputs or results, or full URL query strings to PostHog. For approved campaigns, we send only predefined source, medium, campaign and creative labels from the link after you accept analytics. These labels remain in memory for the current page session and may be associated with a successful enquiry event; they do not identify the recipient.

We store your analytics choice in local storage on this browser. You can reject analytics and continue using the site, or withdraw permission through Analytics preferences at the bottom of the page. Withdrawal stops future collection; it does not delete events already sent. Clearing browser storage removes your saved choice. PostHog receives network requests when analytics is enabled; we request that PostHog discard the IP address and disable geolocation enrichment. When enabled, PostHog analytics uses its United States region.

External websites linked from our resources have their own privacy practices. Review their notices when visiting them or providing information to them.

6. Overseas processing

Website, form-delivery and email providers may process personal information outside Australia. The countries and relevant provider arrangements are being confirmed for this draft. This section must be completed before the policy is adopted.

Where overseas disclosures occur, we will address the requirements of Australian privacy law that apply to those disclosures. You can contact us for information about the arrangements relevant to your enquiry.

7. Security and retention

We take reasonable steps to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure. The measures used should reflect the information involved and the risks associated with handling it. No online service can guarantee absolute security.

We retain information for the purposes described in this policy and for applicable legal, recordkeeping and dispute-resolution requirements. When information is no longer needed for a permitted purpose, we take reasonable steps to destroy it or de-identify it, subject to any legal retention obligations.

8. Access, correction and other requests

You can ask to access personal information we hold about you or request correction of information that is inaccurate, out of date, incomplete, irrelevant or misleading. You can also ask us to stop promotional communications or consider deleting information we no longer need.

We may need to verify your identity before responding. We will consider requests within a reasonable period and explain any lawful grounds for refusing a request, along with available complaint options. There is no charge for making an access or correction request. If a reasonable access charge is proposed, we will explain it before proceeding.

9. Privacy enquiries and complaints

Use our enquiry form below and identify your message as a privacy enquiry, access request, correction request or complaint. Explain the issue and how you would like us to respond, without including unnecessary sensitive information.

We will review your concerns, seek any information needed to investigate and respond within a reasonable period. If you are dissatisfied with our response, or have not received a response within 30 days, you can contact the Office of the Australian Information Commissioner at oaic.gov.au to discuss available complaint options.
